JOB DESCRIPTION
· Maintain the HR file room, including timely shipment of old files to storage, setting up files for new employees, filing current documents, shipping files to and from other offices for transferring employees, labeling and organizing new supplies, etc.
· Provide back-up support to front lobby reception desk
· Cover the lobby reception desk for one hour each day during the receptionist's lunch break
· Cover the lobby reception desk during scheduled vacation, personal, and other days when the receptionist is not in the office
· Document and close IssueTraks assigned to the receptionist while covering the reception desk
· Assist with resolving and correctly routing invoices; research invoices and code correctly before forwarding to Accounts Payable
· Manage daily mail: distribute daily mail deliveries; handle outgoing mail, including certified letters and FedEx or DHL shipping
· Collect and distribute incoming faxes
· Greet and assist visitors to the HR office
· Assist with department scheduling, including orientation training rooms, HR conference room, and other tasks as needed
· Provide administrative support, including assistance with Employee Change Requests, compiling orientation packets, maintaining Employee Document Center and updating the instruction guides located at the employee computers in the HR office
· Respond to routine employee requests via email, telephone and in person
· Maintain the employee boards in all locations, with current employee notifications and required legal posters
· Manage the company store and petty cash distribution for vending machines
· Assist generalists with projects as assigned, including running of queries. Other duties as assigned.

REQUIREMENTS

· A strong knowledge of current business software including Microsoft Office (word processing, spreadsheet, and presentation software), multi-line phone system, and copy and fax machine are necessary. Good interpersonal, communication, organizational, grammar and basic math skills are also required. Confidentiality is a must.
· High school diploma, general education degree (GED) or equivalent
· At least two years of experience in a fast-paced office environment.
· Prior administrative experience in a high volume office serving a large group of internal or external customers
· Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
· Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
· May sit for long periods of time, typing and reading on a computer. Communicates in-person, by telephone and via written correspondence. May stand, crouch, or lift for extended periods when filing paperwork.
